This position is located in our Chicago office and offers a hybrid work schedule. On site presence is required.

Minimum Requirements:

  • High School or GED

  • 5 years of professional executive administrative experience supporting partners and/or executives

  • Advanced computer skills in Excel, Word and PowerPoint are required

  • Exhibits excellent communication and interpersonal skills to interact with peers, lawyers, clients, business professionals, and various firm departments on a regular basis

  • Solid organizational skills to manage multiple high priority projects at one time

  • Performs a broad range of assignments with efficiency and accuracy

  • Excellent time management skills necessary and the ability to work effectively in a fast-paced environment

  • Demonstrates strong work ethic and a flexible, dependable and positive attitude

  • Must maintain confidentiality and demonstrate good professional judgment

What will your day look like?

As an Executive Assistant, you will complete and carry out major assignments and a broad variety of tasks in support of the partner's practice. You will exercise judgment and delegate administrative tasks and document work as appropriate to other Legal Support Services team members (Legal Support Assistants and Legal Administrative Assistants) and firm resources. When delegating, you will maintain responsibility for and tracks all activities/tasks/projects to successful completion. Collaborates with peers to provide team support and coverage.

In this role, you will perform work that substantively and positively impacts the success of the partner's financial viability with client matters. You will exercise discretion and professional judgment with confidential and sensitive matters. You will plan, coordinate, and ensure attorney Outlook calendars are maintained; identify and resolve scheduling conflicts; coordinate complex travel itineraries including support for an international practice which will include scheduling global calls to accommodate various time zones; correspondence with international administrative counterparts and working with internal travel department on international business travel bookings. You will work closely and proactively with attorneys to keep them well informed of upcoming commitments and responsibilities, preparing materials in advance, and following up appropriately.

Furthermore, you will successfully complete critical aspects of deliverables with a proactive, hands-on approach, including drafting letters or other correspondence, preparing reports, and other tasks that facilitate partner's ability to effectively build the practice. You will handle extensive direct interaction with clients and outside business contacts. You will also prepare agendas, reports, and presentations; compose correspondence that is sometimes confidential. You will develop and maintain professional relationships and ensure teams work together efficiently and effectively, providing clear direction and constructive feedback on projects and assignments.

Additionally, you will coordinate department or practice group meetings. You will take lead in preparing logistics and engaging appropriate parties to ensure a successful meeting. You will participate in practice group and client team meetings, as appropriate. You will prepare meeting agendas, review meeting materials for accuracy and completeness and distribute to meeting attendees. You will also maintain paper and electronic filing systems, helping to ensure compliance with Information Governance policies and procedures. Lastly you will oversee billing matters including reviewing bills and approving various forms, collaborating and corresponding with responsible parties, handling international billing, liaising with billing and collections teams and monitoring client budgets for reporting purposes.

Physical Demands, Work Environment, and Other Requirements

Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
