Job Summary

The successful candidate will be responsible for overseeing and processing all travel within the of Chemistry and Biochemistry. They will create content for social media and the departmental website. They will also assist in the promotion, recruiting, and maintenance of our graduate program, alongside our Graduate Program Coordinator

Essential Duties and Responsibilities

  • Process travel for the faculty, staff, students, of the Department of Chemistry, and the visitors to the Department of Chemistry. Including but not limited to:

  • creating travel requests, booking flight and hotel arrangements, processing travel expenses after travel has occurred.

  • Seminar program coordination – correspond with visitors to the department that travel to present research seminars for our graduate seminar course that is open to the public.

  • Arrange flight and hotel for seminar speakers, assist with their onsite schedule, and other duties as assigned.

  • Create content for social media, plan and execute social media campaigns to promote department, view and update website content.

  • Graduate Coordination Recruiting Support.

  • Assist with screening emails, answering inquiries of prospective students and current students, upload student files for new and existing students, maintain recruiting spreadsheet, attend graduate recruiting meetings.

  • American Chemical Society Exams – give Graduate American Chemical Society Exams to Ph.D. students throughout the year, record scores, maintain student records of exams.

  • Performs other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree with two (2) years of experience in a related area or the equivalent experience.

  • Proficient in Microsoft Word and Excel.

Preferred Qualifications

  • Experience working with People Soft, MyMv, UTShare, Microsoft Office Suite.

  • Good communication and interpersonal skills, ability to manage multiple projects, ability to adapt to new requirements and situations quickly.

Knowledge, Skills and Abilities

  • High level of organization and knowledge about the Department and programs to effectively assist in the recruitment of new students.

  • Must work closely with the Graduate Program Coordinator, and with the entire faculty in order to assure smooth operation of the student thesis committees and requisite exams, annual updates, and defenses required by the program.

  • Knowledge of UT Share and the Travel and Reimbursement process.

  • Knowledge of Microsoft Office, TEAMS, and social media platforms for posting content.

  • Effective judgment, tact, diplomacy, and discretion required in all matters. Excellent verbal and written communication skills.

  • Demonstrated effective interpersonal skills.

  • Excellent customer service skills.

  • Maintain strict confidentiality in all matters.

  • Ability to complete all physical tasks as needed.
